Employee Handbook in Kenya: What to Include (and Why)

Most workplace disputes start with a sentence that was never written down. "I didn't know that was the rule" is hard to argue with when, in fact, the rule lived only in someone's head. An employee handbook is how you turn assumptions into something clear, consistent and defensible, and most Kenyan SMEs either don't have one or have a copied template that doesn't match how they actually work.

What a handbook is (and isn't)

A handbook isn't legal decoration. It's the single place your team can find how things work here: what's expected, what's not allowed, and what happens when something goes wrong. It won't replace individual employment contracts, but it sits alongside them and fills in the day-to-day detail a contract doesn't.

The policies a Kenyan handbook should cover

Make it legally aligned, not just tidy

Make it readable, and get it acknowledged

Nobody reads a 60-page wall of text. Keep it plain, practical and skimmable, then have each employee sign to confirm they've received and understood it. That signature is what makes it enforceable.

Keep it alive

Laws change, SHIF replaced NHIF, NSSF rates moved, the Housing Levy arrived. Review the handbook at least once a year so it never quietly drifts out of step with the law.

At minimum: code of conduct, leave, disciplinary and grievance procedures, anti-harassment and equal opportunity, health and safety, and data protection. Add remote-work and IT policies if they apply to your team.
How often should an employee handbook be updated?
At least once a year, and whenever the law changes. Statutory items like SHIF, NSSF and the Housing Levy have all changed recently, so an out-of-date handbook can quickly become inaccurate.
