FAQ

Frequently asked questions

Short, direct answers to the questions we hear most about working with Virtual Ivy.

What does Virtual Ivy do?
Virtual Ivy is an HR consulting and recruitment firm. We help organisations across five areas: recruitment & talent acquisition, people operations (HR outsourcing), HR strategy & advisory, learning & development, and HR projects & consulting, from strategy right through to hands-on execution.
Who do you work with?
We work with SMEs and growing businesses, startups building their first HR foundations, NGOs and development organisations, and corporate teams that need specialist project support. Typical clients are business owners, operations leads, and managers responsible for people decisions, not necessarily HR specialists.
Do I need to be based in Kenya to work with you?
No. We're rooted in Nairobi with deep knowledge of Kenyan labour law, and we also support organisations operating internationally. We bring both local and global HR practice to every engagement.
We're small, can we afford outsourced HR?
Yes. That's exactly who we're built for. Engagements range from one-off projects (an HR audit, a set of contracts, a recruitment drive) to ongoing monthly support. You get expert HR guidance without the cost of a full-time hire. Book a free consultation for a tailored scope.
Can you handle recruitment as well as HR support?
Yes, recruitment is one of our core services. We run hiring end-to-end: job design, sourcing and headhunting, screening, structured interviews, and reference and background checks. We can also design and optimise your overall recruitment process.
What is an HR audit, and do we need one?
An HR audit is a focused review of your current people practices, contracts, policies, records, and statutory compliance, to show where the gaps and risks are. It's often the best first step, because it tells us exactly what to prioritise before building anything.
How do we get started, and what does working together look like?
It starts with a free, no-pressure consultation. We listen, diagnose where you stand, design a practical plan tailored to your size and stage, then implement alongside you, and stay on as a long-term partner if you'd like ongoing support.
Is our information kept confidential?
Always. Confidentiality and ethical practice are core to how we work. Everything you share with us, about your business, your people, and your challenges, is handled professionally and in confidence.
How much does HR consulting or outsourcing cost in Kenya?
It depends on scope and headcount. We work two ways: one-off projects (such as an HR audit, a set of employment contracts, or a recruitment drive) priced per project, and ongoing monthly retainers for continuous support. This is usually far more affordable than hiring a full-time HR manager, book a free consultation for a tailored quote.
Do you handle payroll and statutory deductions (PAYE, NSSF, SHIF)?
Yes. As part of People Operations we support payroll processing and coordination, including statutory deductions such as PAYE, NSSF, SHIF (which replaced NHIF), and the Affordable Housing Levy, so your team is paid accurately and on time, and your business stays compliant.
Can you draft employment contracts that comply with Kenyan law?
Yes. We prepare clear, compliant employment contracts and offer letters aligned to the Employment Act 2007, covering the essential terms like role, pay, hours, leave, and notice, so both you and your employees are protected.
